Community Specialist

Schmidt Futures is looking for a Community Specialist to join our Community team and manage the planning and execution of a wide range of convenings with various program teams across the organization.

 

The Role 

Reporting to the Senior Manager & Head of Community, the Community Specialist will be responsible for planning and producing best in class, consistent, community-driven, and action-oriented convenings from start to finish. As the organization’s programs continue to form and evolve, this role will work hand-in-hand with program leadership teams to produce the vision and goals of each respective convening consistent with those of the organization. As we continue to grow our exceptional community of diverse talent and high potential individuals across all program teams, this role will set the stage for opportunities to connect, engage, and maintain strong relationships. The Community Specialist’s role will include:

 

  • Developing standard timelines and program needs based on the calendar of events across the Program Teams
  • Sourcing and managing all external needs as well as collaboratively determining internal needs for each convening
  • Working closely with the Community Team and Program Teams to execute convenings that emulate SF and program OKRs accordingly 

 

Key Responsibilities  

Develop convenings 

  • Create and communicate a detailed work plan, run-of-show, & staffing plan for each convening 
  • Work directly with program teams to determine what resources are needed to meet their goals practically and efficiently and build out the aesthetic design accordingly
  • Manage event budget implementation, drive contract negotiation with venues, hotels & vendors, and ensure timely payment processing
  • Source & manage external vendors to include on-site labor as needed 
  • Work with venue(s) to create & deliver on all associated event logistics (BEO’s, COI’s and other subjective requirements as needed)

 

Execute convenings

  • Act as the point of contact for all external vendors to ensure successful installations that meet SF standards and specific team requirements
  • Manage all load-in and load-out logistics on-site with the venue and external vendors
  • Ensure smooth and effective A/V logistics are in order throughout the convening
  • Sourcing all additional materials needed for each convening and ensuring that they are properly received and distributed as needed on-site as well as stored or returned accordingly following each convening

 

Knowledge, Skills, and Abilities 

Some of the desired capabilities include:

  • Energetic and enthusiastic collaborator;
  • Exceptional vendor relationships and networks as well as the ability to source and maintain new vendor relationships in new locations as needed;
  • Advanced administrative, organizational, and time management skills;
  • Experience using an event-driven database (Airtable preferred) 
  • Excellent verbal and written communication;
  • Experience interacting with C-Level Executives;
  • Proven ability to build strong and successful relationships to support and help colleagues effectively;
  • Ability to maintain a high degree of confidentiality, professionalism, poise, tact, and diplomacy to accomplish work objectives; and

 

Requirements 

Applicants must have:

  • 5+ years of event production experience;
  • Strong ability to prioritize tasks, manage budgets / deadlines, and think on your feet creatively and efficiently in fast-paced environments;
  • Ability to swiftly shift gears and execute on alternate solutions as needed; 
  • Effective communication skills in a highly collaborative environment;
  • Strong attention to detail;
  • Strong integrity and ability to maintain confidentiality at the highest levels;
  • A bachelor’s degree or equivalent from an accredited institution;
  • Be based at the Schmidt Futures offices in New York and be able to travel within the U.S. and internationally on a regular basis as needed following company policy and permitting circumstances.
